Live token and queue management
When a clinic supports it, patients see the token being served, the tokens ahead of them, an estimated wait and when the queue was last updated.
- Provider controls: start queue, call next, mark arrived, in consultation, complete, skip, pause, resume, mark doctor unavailable, close queue
- Phone and walk-in bookings can be added by staff
- Estimates are distinguished from confirmed times and stale data is flagged
Manage once, display everywhere
Providers maintain one digital catalogue instead of relying on printed posters. Published data powers the patient mobile app, patient web app, public clinic profile, service and facility pages, QR destinations and shareable links.
- Choose services from the master catalogue or request custom entries for review
- Set a price, price range or price-on-request
- Associate doctors and facilities, add preparation instructions and enable booking or enquiry
Facilities, photographs and gallery
Providers select the facilities they actually have from a searchable master catalogue and show them with photographs, descriptions, opening hours and operational status.
- Upload multiple photos, choose a cover image, add captions and reorder
- Images are compressed, validated and permission-checked per tenant
- A facility listing never implies real-time capacity, such as ICU bed availability
Web booking without app installation
Patients can book from a browser at app.aptly.care. After booking they see their reference, provider, service, date and time, token and instructions.
- Installing the mobile app is optional
- Secure verification links web bookings to a mobile account
- Booking details are never exposed through a predictable booking ID
Laboratories and scanning centres
A dedicated module lets patients find nearby labs and imaging centres, compare published prices and book centre appointments.
- Test and scan pages with preparation instructions, eligibility and report turnaround where confirmed
- Slots come from provider schedules
- No unverified medical interpretation is given
Home sample collection
Eligible tests can be collected at home when the provider offers it, the address is inside its service area and a slot is available.
- Fees are shown before confirmation
- Statuses reflect the provider's real workflow
- Addresses and reports are protected
Healthcare packages
Packages are first-class catalogue entries with included tests and services, exclusions, price, preparation, eligibility and availability.
- Bookable availability comes from scheduling data, not from being published
- Centre visit or eligible home collection as configured
- Publish, unpublish or archive at any time
QR codes and digital promotion
Stable QR codes and links for clinics, services, facilities and packages let providers promote beyond physical posters.
- No new QR code when a profile changes
- Poster-friendly layouts with the call to action “Scan to Explore Services”
- Works without app installation
Multi-clinic doctors and staff
Doctors who work at several clinics have separate clinic associations, schedules and availability. Reception and nursing staff get only the permissions they need.
- Role-based permissions for owners, doctors, receptionists and staff
- Separate schedules per clinic
- Doctor status updates feed the queue
Notifications
Patients are informed when something changes: bookings confirmed, cancelled or rescheduled, appointment reminders, token and queue updates and home collection progress.
- Notifications reflect real backend state
- User preferences and applicable policies are respected
Security, privacy and multi-tenancy
Every provider's private records are isolated, and public provider data is kept separate from private operational data.
- HTTPS, role-based access control and audit logs
- Patients cannot see other patients' bookings, providers cannot see another tenant's records
- Reports and patient information are protected
Analytics for providers
Providers see how patients find and use their profile.
- Profile, service, facility and package views
- QR visits and referral channels
- Booking volume, completion and cancellation rates
- Privacy-conscious: only necessary data is collected
